Connecting registration forms to a webinar contact list

Connect a campaign form to an event-specific webinar list using accepted registration, with clear handling for pending and failed submissions.

Use an accepted registration for the named webinar as the rule for joining its contact list. A campaign form submission may create a contact and start registration, but it does not establish that the webinar platform accepted the person. Keep pending and failed submissions visible outside the accepted-registrant list.

Map the person to the event

Record the campaign form, webinar ID or occurrence, contact identifier and registration address. For each field the webinar platform needs, identify its source.

Keep optional marketing information separate from registration identity. Someone registering for two webinars needs two event memberships, not one general “webinar registrant” flag.

Decide how a repeat submission affects an existing registration. If a changed address or conflicting answer makes identity uncertain, hold the case for review before attaching it to a contact or event.

Add the contact after acceptance

A workable sequence is to identify the form submission, check that the intended event is open, submit the required registration details, confirm acceptance or approval in the webinar platform, then add the contact to that event’s accepted-registrant list.

Keep pending approval, rejection and connector errors in separate states. The form success screen should describe what has happened accurately.

For a Zoom webinar using manual approval, the host must approve a registrant before they can join. Registrants receive the join link through the Zoom registration confirmation email. Choose one owner for that message.

Check the connector’s limits

HubSpot can add contacts to Zoom webinars through a workflow. The Zoom Webinars add-on is required; the integration does not support Zoom Events.

The action uses the contact’s first name, last name and email, and HubSpot says another required field on the Zoom registration link can make registration fail.

A contact appearing in HubSpot therefore does not prove Zoom accepted the registration. Check the intended event and registrant status in Zoom before using the accepted-registrant list for joining instructions or reminders. Review failures and repeat submissions against both systems.

Keep event registration and any separate promotional mailing decision distinct.
